Required forms for Coaches: Athletic Directors may print forms and give to coaching applicants/volunteers or instruct the applicant/volunteer* to this link.

*Please do not refer Volunteer Coaches to the on-line volunteer system that is used for other school based volunteers.  They MUST complete the “hard copy” form provided by you or obtained from the website.

Procedure

  • When a school has a coaching vacancy, the Athletic Director should email Helen Higgins (higginh2@gcsnc.com) the vacancy and contact information.
  • Athletic Directors should interview interested applicants for their vacancy
  • From the interview process, Athletic Directors should offer the qualified applicant/volunteer the coaching position pending approval from Human Resources.  The Athletic Director may print the required forms and give to the applicant/volunteer or instruct the applicant/volunteer to the above link.
  • Applicants/Volunteers should return all forms to the Athletic Director.
  • Athletic Directors should complete the “Athletic Director’s Coaching Checklist” to ensure all required forms were received from applicant/volunteer.
  • Athletic Directors should submit completed application packets or volunteer release forms to Helen Higgins, Office Support, in the Staffing Office on Eugene Street. 
  • Athletic Directors will be notified of the applicant or volunteer’s status following review of background check results and/or application (if applicable).
  • Athletic Directors should notify approved PAID non-faculty coaches only to complete tax forms and submit completed forms to Payroll.
  • Athletic Directors must submit an Extended Employment Agreement for ALL APPROVED PAID COACHES (faculty and non-faculty) before the individual will be paid. Click here to access the Extended Employment Agreement: http://webapps.gcsnc.net/eea/login

Reminders

  • NO APPLICANT (VOLUNTEER OR PAID) SHOULD BE ALLOWED TO COACH PRIOR TO RECEIVING FINAL APPROVAL FROM HUMAN RESOURCES!
  • IF the school administration determines it is necessary to change a VOLUNTEER NON-FACUTLY COACH to a PAID NON-FACULTY COACH, the Athletic Director must instruct the coach to immediately complete the required paperwork to be approved as a paid non-faculty coach. Failure to do this in a timely manner will result in delayed payment or possible non-payment.
  • If a school employs faculty coaches that are NOT faculty members of the school they are coaching for, the Athletic Director should verify their employment status with Helen Higgins, Office Support in Staffing, prior to allowing the coach to work.
